Our journey with Fresh Proposal was exactly that - a project that started with a clear challenge and evolved into a benchmark for design thinking, usability, and innovation.

Redefining Proposal Creation

Fresh Proposal is a platform designed for professionals like business owners, finance heads, and sales teams - empowering them to create, customize, and send proposals or quotations within minutes.

‍The vision was simple: to transform a complex, time-consuming task into an effortless, intuitive experience.When we began our UX audit, it was clear that users were struggling to achieve that simplicity.

Discovering the Problem

Our team at Prismic Reflections conducted a deep-dive UX audit, analyzing both data and behavior.
 Through interviews, usage analytics, and heuristic evaluation, we discovered a few critical issues:

• Users were dropping off from the proposal editor frequently.

• The layout felt overwhelming, with too many controls competing for attention.
• Confusion persisted between Smart Sections and Normal Sections.
• The visual hierarchy didn’t align with the task flow.

What looked like a functional tool on the surface was actually causing cognitive friction underneath.

The Challenge Within the Challenge - When AI Entered the Room

Just as we were refining the design direction, the client decided to test the ongoing design exploration using multiple AI tools like ChatGPT and Claude.

That moment hit hard.
 As a designer, as an artist - it initially felt like a threat.
 Could a machine reinterpret months of creative exploration in seconds?

But instead of resisting, our team reframed it.

‍

We decided to embrace AI not as competition, but as collaboration.
 We leveraged AI-driven insights to validate our UX assumptions, generate alternate flows, and push the boundaries of efficiency and personalization.

This mindset shift transformed AI from a disruptor to a design catalyst - helping us strengthen our process, validate our hypotheses faster, and make the product even smarter.

The UX Process - Balancing Function with Emotion

We approached the redesign through structured experimentation.
 Starting with multiple wireframe directions, we explored different navigation systems, content hierarchies, and user flows.

After iterative testing and stakeholder reviews, we finalized a two-level menu structure, a design solution that simplified access to core actions without losing context.
 This structure offered users:

• Clarity between editing modes
• Reduced cognitive load
• Improved discoverability of advanced features

In essence, the interface started feeling less like a software tool and more like a guided creative space.

Visual Design - Where Form Meets Focus

For the visual direction, our goal was to design an interface that felt like the name itself - Fresh Proposal.We adopted a minimal, clean, and contemporary design language built around:

• Balanced white space and modular grids

• Subtle color cues for hierarchy

• Lightweight iconography

• Consistent visual rhythm

The outcome was a design system that enhanced usability while visually communicating modernity, focus, and trust.

 The moment AI entered our workflow, we realized the future of design lies not in resisting technology but in orchestrating it.
